Role Overview
We are on the lookout for a detail-oriented and motivated Operations Administrator to enhance our expanding operations team. This pivotal role focuses on maintaining the efficiency of our daily operations, with key responsibilities including timesheet oversight, reporting, contract management, compliance, and a range of administrative support tasks.
The perfect candidate will bring a minimum of 5 years of experience in operations or administrative positions, excel in dynamic environments, and have a keen eye for detail.
Key Responsibilities
• Timesheet Management: Supervise the completion and accuracy of contractor timesheets, ensuring prompt submissions, approvals, and efficient resolutions of any discrepancies.
• Reporting: Create and interpret operational reports that aid in informed decision-making within the organization.
• Contracts & Compliance: Support the management of contracts, ensuring compliance with both regulatory requirements and internal policies.
• Payments & Invoicing: Handle the processing of invoices, purchase orders (POs), and payments with a focus on efficiency.
• Operational Support: Provide administrative support, foster process enhancements, and manage miscellaneous tasks as needed.
• Stakeholder Coordination: Serve as a vital link for contractors, clients, and internal teams, ensuring clear communication and collaboration.
Key Requirements
• A minimum of 5 years of experience in an operational or administrative capacity is required.
• Understanding of contracts and compliance is a plus, though not mandatory.
• Experience with Xero (or similar accounting software) and Harvest (or comparable time-tracking tools) is preferred.
• Exceptional organizational, analytical, and problem-solving abilities.
• Capacity to juggle multiple tasks effectively in a fast-paced, high-pressure environment.
• Strong communication and stakeholder management skills.
• Familiarity with hybrid working arrangements (3 days in our London office and 2 days remote).
