Job Summary:
The Veterinary Medical Scheduler plays a vital role in ensuring smooth operations at the veterinary clinic by coordinating appointments, managing client communications, and supporting veterinarians and staff. This position requires excellent customer service skills, attention to detail, and the ability to handle sensitive information with care while maintaining a compassionate approach toward pet owners.
Key Responsibilities:
- Schedule, reschedule, and confirm veterinary appointments (exams, procedures, surgeries, vaccinations, etc.).
- Manage provider calendars and optimize scheduling to support efficient clinic operations.
- Communicate with pet owners regarding appointment reminders, instructions, and follow-ups.
- Collect and verify client and pet information before scheduling appointments.
- Provide information on clinic services, policies, and required forms or preparations.
- Coordinate with veterinary technicians, assistants, and doctors to ensure timely patient flow.
- Answer incoming phone calls, emails, and online appointment requests in a courteous manner.
- Maintain accurate scheduling records in the practice management system.
- Assist with cancellations, waitlists, and urgent appointment requests.
- Ensure confidentiality of client and medical information in compliance with veterinary practice standards.
Qualifications:
- High school diploma or equivalent (Associate’s degree preferred).
- Prior experience in veterinary scheduling, medical scheduling, or customer service.
- Proficiency in veterinary practice management software (e.g., AVImark, Cornerstone, eVetPractice) a plus.
- Strong communication, problem-solving, and organizational skills.
- Ability to multitask in a fast-paced, client-focused environment.
- Compassionate and professional demeanor when working with pet owners.
Preferred Skills:
- Knowledge of veterinary terminology and common procedures.
- Experience in a veterinary clinic, hospital, or animal care setting.
- Bilingual (English/Spanish or other languages) is a plus.
