    Job Overview

    The Scheduling Specialist plays a vital role in managing the clinician schedules across designated hospital facilities, ensuring precision in scheduling and adherence to organizational protocols. This individual is tasked with filling open shifts promptly, closely monitoring clinician hours for payroll purposes, and fostering effective communication between clinicians and leadership. Bilingual proficiency in Spanish and English is essential for this role.

    Key Responsibilities

    • Create and maintain accurate schedules that align with workload demands, ensuring they are promptly published using scheduling software.

    • Engage with clinicians through phone, text, and email to fulfill scheduling requests, manage last-minute changes, and address emergency openings.

    • Assist Medical Directors by catering to site-specific scheduling needs and coordinating orientations and shadowing opportunities for new providers.

    • Confirm clinician credentials and registrations to guarantee they meet requirements for working at assigned facilities.

    • Monitor clinician work hours utilizing scheduling software, generating reports and collaborating with payroll to ensure accurate processing of compensation.

    • Maintain and update recruitment and staffing data, such as “Have vs. Needs,” to supply real-time insights to recruiting teams.

    • Analyze performance metrics and financial data to support management in staffing and scheduling reporting efforts.

    • Collaborate with credentialing, recruiting, and enrollment teams to provide seamless scheduling assistance.

    • Be available for flexible hours to support Directors, VPs, and facilities with scheduling and related tasks as necessary.

    • Complete additional responsibilities as assigned.

    • Adhere to all organizational policies and standards.

    Requirements

    • High School Diploma or GED is required.

    • Preferred Bachelor’s Degree in Healthcare Administration, Business Administration, or a related field.

    • 1-3 years of experience in scheduling, operations, or healthcare administration is required.

    • 1-3 years of scheduling experience specifically with Physicians or Advanced Practice Providers is preferred, although relevant experience such as surgical or patient scheduling may also be considered.

    Skills and Qualifications

    • Proficiency in scheduling software and the Microsoft Office Suite.

    • Exceptional verbal and written communication skills.

    • Strong analytical and problem-solving abilities with keen attention to detail.

    • Familiarity with healthcare industry standards and regulations.

    • Highly organized with the ability to manage multiple tasks in a fast-paced environment.

    • Capability to thrive in a dynamic healthcare setting.
