In this role, you will provide essential administrative support to our department, taking on non-routine tasks that require your independence, judgment, and discretion. You will be making decisions within predetermined guidelines, while also having access to confidential information. It is critical to have a solid understanding of departmental and company-wide policies and procedures, as you will be reporting frequently to the department manager, director, or executive.
Key Responsibilities:
- Act as the administrative liaison, facilitating communication with internal and external stakeholders regarding purchasing, personnel, facilities, and operations.
- Coordinate exclusive administrative processes for the department, including supply maintenance, filing systems, and handling confidential records.
- Oversee invoice payments and account reconciliations while managing the department’s event budget.
- Manage calendars, schedule daily activities, and coordinate meetings for designated staff members.
- Prepare detailed reports, manuals, and presentations utilizing various software, while analyzing trends and gathering data from multiple sources.
- Collect, compile, and analyze moderately complex information while adhering to established parameters for research and reporting.
- Screen correspondence, prioritizing documents that require immediate attention from relevant team members.
- Draft, edit, and format routine communications, along with preparing agendas, minutes, and other departmental documentation.
- Serve as a resource for junior staff members, potentially coordinating the hiring and training processes within the department.
- In a clinical environment, act as the main contact for patient inquiries, addressing issues and referring complex problems appropriately.
- Attend events and meetings, documenting notes and coordinating subsequent actions.
- Perform all duties in compliance with applicable regulations and company policies.
Minimum Qualifications:
- Education: Associate’s degree or equivalent experience required.
- Experience: A minimum of 3 years in an administrative assistant role or a similar position within a healthcare setting. Strong communication and interpersonal skills are essential, along with the ability to navigate interactions with tact and diplomacy.
- Must be a collaborative team player who can prioritize effectively. Proficiency in word processing, spreadsheet, and database software is crucial for producing high-quality documentation. Experience in a pharmacy or healthcare office is preferred.
Working Environment:
- Fast-paced office setting with frequent deadlines and interruptions.
- Ability to work both remotely and on-site effectively.
