    Job Description

Join a team that’s at the forefront of engineering innovation! Stanford University’s School of Engineering (SoE) is seeking a dynamic Research Administrator to support our mission of addressing some of the most pressing challenges in the world through groundbreaking research. With a rich history of nearly a century in pioneering technologies within various sectors, our faculty and students not only push the boundaries of engineering but also produce visionary leaders who make a global impact.

This exciting opportunity invites you to leverage your research administration expertise in a role that offers flexibility—work remotely, in a hybrid model, or from our vibrant campus. As a part of the Engineering Research Administration (ERA), you will oversee an impressive portfolio, managing pre- and post-award processes for over 700 annual awards, totaling $175 million in sponsored research funding from various agencies.

If you possess three or more years of relevant experience, this could be the next ideal step in your career. The role involves a range of responsibilities focused on administrative, financial, and compliance tasks related to research activities, including the preparation of proposals and budget management. You will collaborate closely with principal investigators and the Office of Sponsored Research to ensure that projects are executed smoothly and in compliance with all guidelines.

In this role, your key responsibilities will include:

    • Collaborating with principal investigators to develop the administrative sections of proposals while ensuring compliance with sponsored research guidelines.
    • Overseeing submission processes (both paper and electronic), ensuring completeness and adherence to standards.
    • Crafting and finalizing project budgets and accompanying justifications.
    • Acting as a key liaison among principal investigators, the Office of Sponsored Research, and relevant departments, addressing sponsor inquiries as needed.
    • Ensuring proper setup of awards and fulfillment of cost-sharing requirements while managing expenditures and compliance for funds.
    • Generating and communicating project reports that inform on statuses and facilitate informed decision-making.
    • Contributing to the award closeout process by submitting final reports and compiling information for audit reviews.
    • Advising on university and government policy adherence throughout project lifecycle while leading process improvement initiatives.

Preferred qualifications include a Bachelor’s degree with three years of experience or a combination of education and relevant experience. Candidates should demonstrate:

    • A fundamental understanding of government regulations.
    • Strong communication skills, both orally and in writing.
    • Proficiency in analytical tasks, particularly with Excel and similar tools.
    • A solid foundation in accounting principles.
    • Exceptional attention to detail and project management abilities.

Certifications such as Cardinal Research Administration Training I and II, or credentials like Certified Accountant or Auditor, are advantageous.

Physical requirements include the ability to perform desk-based computer tasks, light lifting, and handling paperwork efficiently.

Stanford values each employee’s contribution, fostering a work environment grounded in collaboration, safety, and respect for all. We provide a competitive compensation package, with salary ranges dependent on geographical location, ranging from $72,106 to $109,557 annually, alongside a host of benefits.
