As part of our Procurement team, you’ll play a vital role in ensuring a continuous flow of inventory. As a Supply Chain & Procurement Specialist, you’ll be tasked with managing the daily operations involved in handling purchase orders and container logistics between our suppliers and Apex’s third-party logistics provider (3PL). This newly created position will enable our Vendor Manager and Procurement Manager to concentrate on strategic initiatives, enhancing our overall efficacy.
Your role is critical, as you’ll be working directly with purchase orders—the driving force of our business. You’ll need to be passionate about accuracy, double-checking your work and that of others to ensure everything is flawless from the start. We’re seeking someone who doesn’t just input data but challenges discrepancies and raises alarms at the first sign of trouble. Proficiency in Mandarin or Chinese will be a valuable asset. Your ability to ask questions, verify data, and keep projects on schedule will be crucial. If you haven’t dealt with purchase orders exceeding $100k, this may not be the position for you.

Key Responsibilities:
- Support our procurement team through efficient supply chain management. You’ll track containers at every delivery stage—starting from confirming shipping documents when a container leaves our vendor to its arrival and unloading at our 3PL warehouse. Your duties will encompass managing marketing and production samples, processing vendor invoices, generating UPS and other shipping labels, and maintaining updated logistics for containers. Over time, managing weekly container bookings with an eye on cash flow and 3PL capacity will become part of your responsibilities. You’ll monitor inventory levels of product boxes, center caps, and shipping materials, promptly notifying us when inventory dips below acceptable levels.
- Deliver procurement support by creating and submitting purchase orders, gathering order acknowledgments, confirming accuracy, and validating payments. You’ll track orders through each phase of their journey—from submission to receipt—while ensuring compliance with purchase terms. You will reconcile discrepancies in orders and maintain organized records, including invoices, purchase orders, and bidding contracts. Experience using our 3PL’s Warehouse Management System (WMS) will be essential for keeping our data accurate.
- Support Project Management by creating, updating, and closing tasks within our Project Management software (ClickUp). Collaborate with project managers across departments, providing regular updates on samples and establishing project frameworks for new initiatives.
- Aid in the expansion of our team by continuously enhancing and streamlining processes, improving efficiencies in your workflows and those that intersect with other teams. You will also develop and update reports for cross-functional teams and tackle assorted tasks, including creating box labels for new products and fitments as necessary.
Qualifications:
- Outstanding attention to detail, strong organizational skills, and a proactive mindset.
- An associate’s degree or higher in logistics, supply chain management, or a related area is preferred; a high school diploma or equivalent is required.
- Proficiency in Mandarin or Chinese is preferred.
- Minimum of 3 years of experience in logistics or supply chain coordination.
- At least 3 years of experience using ERP systems (Netsuite preferred).
- A minimum of 1 year working with Project Management software (ClickUp preferred).
- Familiarity with Microsoft Office or Google Suite.
- Strong verbal and written communication abilities.
- Intermediate proficiency in spreadsheet software (Sheets/Numbers/Excel), including formulas and general data processing.
- Candidates residing in AZ, CA, CO, FL, GA, NJ, NY, OH, OR, PA, TX, WA, or WI will be given preference.
