We are currently on the lookout for a dynamic and detail-oriented Executive Assistant to join our team. This role is perfect for an organized individual who thrives in a fast-paced environment and is eager to provide exceptional support to our CEO and leadership team while taking on diverse operational responsibilities throughout the organization. This position goes beyond typical EA duties, as it encompasses managing customer support operations, assisting in sales and marketing initiatives, aiding in event planning, and boosting overall operational efficiency.
Key Responsibilities:
Executive Support:
- Oversee the calendars of the CEO and leadership team by scheduling meetings, arranging travel, and managing logistical details.
- Draft meeting agendas, document minutes, and follow up on action items.
- Act as the primary liaison between executives and both internal and external stakeholders.
Operational & Administrative Support:
- Handle customer support inquiries via Zendesk, ensuring issues are addressed promptly and customer satisfaction is upheld.
- Assist the sales team with Hubspot by curating prospecting lists, maintaining data integrity, and generating insightful reports to enhance outreach efforts.
- Provide marketing administrative assistance by managing push notifications, coordinating email campaigns, and contributing to various marketing initiatives.
Project Coordination:
- Aid in the planning and execution of special projects, events, and key company initiatives.
- Monitor deadlines and ensure that project goals are met.
- Conduct research, compile reports, and perform data analyses as required.
Cross-Departmental Collaboration:
- Collaborate closely with Sales, Marketing, and Product teams to facilitate streamlined communication and operational workflows.
- Provide insights and solutions to optimize interdepartmental processes.
Communication Management:
- Compose, edit, and oversee internal and external communications on behalf of the leadership team.
- Ensure timely responses to emails, messages, and other forms of correspondence.
Event Planning & Coordination:
- Organize and manage all logistical aspects of company events, including conferences, offsite meetings, dinners, and team-building activities.
- Coordinate travel arrangements, venue selection, catering services, and scheduling for both virtual and in-person gatherings.
Confidentiality & Discretion:
- Maintain the utmost confidentiality and professionalism when handling sensitive information.
Qualifications:
- 3+ years of experience in an Executive Assistant, Operations Coordinator, or similar position, preferably with cross-functional business support.
- Demonstrated ability to juggle multiple responsibilities across customer support, sales, and marketing functions.
- Proven experience in organizing events such as conferences and team retreats.
- Proficiency in tools such as Google Workspace and Microsoft Office; experience with Zendesk and Hubspot is highly desirable.
- Exceptional organizational, multitasking, and communication skills.
- Ability to work autonomously and prioritize effectively within a dynamic environment.
- Experience managing confidential information while communicating with various stakeholders.
- A Bachelor’s Degree or equivalent experience is preferred.
