As part of the Gas Power One Field Services team, FieldCore plays a crucial role by installing, maintaining, and upgrading power generation systems, ensuring operators of global energy infrastructures can provide reliable and affordable energy solutions.

    Your Role

    As a Field Service Coordinator, you will take charge of organizing the mobilization and demobilization of craft employees across North America. Your responsibilities will include coordinating travel arrangements, ensuring team members meet training and certification requirements, and maintaining essential documentation. Additionally, you will be responsible for reconciling travel expenses associated with projects.

    Your Responsibilities:

    • Manage the mobilization and demobilization processes for field employees, facilitating timely travel to and from job sites.

    • Oversee all logistical aspects related to the craft employees’ mobility.

    • Initiate vendor quote requests and requisitions, and ensure timely closure of open purchase orders.

    • Categorize and upload travel and logistics invoices to guarantee supplier payments.

    • Utilize the GE Travel Advisory System (TAS) to handle craft employee requests and follow up on necessary information.

    • Coordinate mobilizations for conferences, training sessions, and project work-outs.

    • Organize transport logistics for kick-off meetings and align with senior management guidance.

    • Arrange ground transportation for field personnel during outages, adhering to security plans and travel guidelines.

    • Assist contingent craft employees with Concur reimbursement processes.

    • Manage the distribution of essential equipment, credit cards, and legal documents to field teams.

    • Monitor and manage documentation related to medical appointments, immigration, and government clearances before site access.

    • Support field employees in the preparation and submission of visa and work permit applications.

    • Lead daily calls to track and report on the documentation status of the mobilization team.

    • Keep records updated for all field employees and oversee documentation for each maintenance assignment.

    • Take ownership of the documentation database, expected to be deployed in North America soon.

    • Facilitate third-party document delivery for review and site access.

    • Help craft employees with cash payments related to visas and permits.

    • Assist resource managers in onboarding processes, including system training for craft employees.

    • Provide additional support and clarifications to craft employees as requested by resource managers.

    • Occasionally assist Field Engineers as needed during special requests or events.

    • Demonstrate flexibility by working on holidays, weekends, and overtime when necessary.

    • Travel may be minimal, but remaining adaptable for additional tasks aligned with FieldCore’s vision is essential.

    Qualifications & Experience:

    • High School Diploma or equivalent is required.

    • 2+ years of pertinent experience in field operations, customer service, or administrative roles is preferred.

    • Proficiency in English is required.

    Desired Attributes:

    • A bachelor’s degree is desirable; relevant experience may substitute.

    • Strong customer service and interpersonal communication skills.

    • Effective time management and highly organized.

    • Capacity to multitask and manage various responsibilities as directed by supervisors.

    • Proven leadership skills in decision-making, problem-solving, and collaboration.

    • Intermediate proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
