Job Description
We are seeking an enthusiastic Event Specialist to elevate our event marketing and communications initiatives. This pivotal role requires a communication aficionado who ensures our messaging resonates clearly and strategically throughout the entire event lifecycle—from planning and execution to post-event evaluations.
As an Event Specialist, you will orchestrate various internal processes and facilitate seamless communication among department team members. Your efforts will contribute significantly to the successful delivery of all UNFI events and meetings, which include large industry tradeshows and internal gatherings. Your responsibilities will encompass a wide range of tasks, such as program management, research, list oversight, vendor relations, and onsite execution.
Key Responsibilities:
- Oversee and execute multiple events simultaneously, coordinating logistics for booth shipping and overall event participation.
- Assist with crafting and distributing group emails, handling requests and responses via the team’s email channel.
- Collaborate with planners to design floor plans and assign table placements.
- Foster effective communication and working relationships with both internal personnel and external partners, including suppliers, production teams, hotel contacts, and contractors.
Qualifications:
Education:
- A Bachelor’s degree in business or a related field is required.
Experience:
- 4-5 years of hands-on experience in experiential marketing, event management, or tradeshow management.
- 2-3 years of experience in accounting tasks, such as expense tracking, budget preparation, and reporting.
- Experience with system implementation is preferred.
Knowledge:
- Strong organizational skills coupled with project management experience are essential.
- Proficiency in advanced event management software and intermediate Excel capabilities.
Skills and Abilities:
- A commanding and engaging onsite presence with excellent team collaboration abilities.
- Demonstrated success in crafting timely and professional communications with both internal and external stakeholders.
- Possess a high-energy, outgoing demeanor, coupled with strong organizational skills, professionalism, and integrity.
- Advanced negotiation and event management skills are a must.
- Ability to work autonomously, think on your feet, and resolve problems calmly under pressure.
- Capable of effectively interacting with all organizational levels.
- Good judgment is necessary, particularly in situations where direct supervision may not be readily available.
Work Environment:
This position operates remotely, allowing you to work from the comfort of your home. While remote work is encouraged, occasional visits to the office or other UNFI locations may be necessary for business purposes or at the direction of your manager.
Travel:
Minimal travel of up to 15% may be required, typically 4-6 times per year.
Physical Demands:
- Most of the work is carried out in a temperature-controlled office environment.
- Employees may be required to sit for extended periods while using a desk or computer.
- Regular tasks will include using hands for typing, talking, or listening, and you may need to stoop, bend, twist, or reach as necessary.
