Your Role:
• Deliver top-tier executive administrative assistance to two high-level executives.
• Proactively oversee intricate calendars, quickly and professionally handling a high volume of scheduling requests and adjustments while serving as a liaison to prioritize according to the executives’ strategic objectives.
• Cultivate and manage relationships, effectively communicating and collaborating with a variety of internal and external stakeholders, including founders, investors, vendors, partners, and team members.
• Aid in producing and organizing materials for meetings and conferences, such as presentations, spreadsheets, and reports.
• Coordinate comprehensive travel arrangements, which include domestic and international flights, accommodation bookings, and detailed itineraries.
• Handle expense reconciliation and reporting with meticulous accuracy, ensuring timely submission of all financial documentation.
• Continuously anticipate the administrative needs of executives and teams to align with company goals and expectations.
• Assist in planning various meetings and events, including offsite gatherings and leadership meetings (managing logistics such as conference room bookings, catering, and group reservations).
• Collaborate with internal teams to ensure a remarkable experience for all employees and visitors at Cytel.
• Partner with HR and Finance on various projects and initiatives.
• Efficiently manage and prioritize multiple projects concurrently, ensuring timely follow-up on outstanding issues.
• Reflect foresight in addressing potential questions and organizing priorities effectively.
• Exhibit a proactive, intuitive, and resourceful approach across all responsibilities.
• Demonstrate independence, discretion, practical judgment, technical know-how, and attention to detail in all tasks.
• Undertake additional projects as assigned.

Qualifications:
Preferred Bachelor’s degree or equivalent experience in providing administrative support to multiple senior executives.
A minimum of 12 years of experience as an Executive Assistant.
3-5 years of senior administrative support experience in a technology, services, or life sciences industry, preferably within a fast-paced environment.
Ability to work independently while also thriving in a team setting.
Collaborative approach with a strong ability to foster teamwork.
Exemplary work ethic coupled with a high degree of discretion and sound judgment, especially concerning sensitive information.
Proficient in technology with extensive knowledge of Microsoft Office suite.
Outstanding written and verbal communication capabilities.
Exceptional time management and organizational skills with the ability to juggle multiple priorities and meet deadlines.
Strong interpersonal skills with a dedicated customer service orientation.
