    ABOUT THE ROLE

    We are on the lookout for a highly organized and self-motivated Administrative Assistant to become an integral part of our Government Contracts & Services team. In this pivotal role, you will support the Director and the Contracts Manager by managing various administrative tasks and project-related assignments.

    WHAT YOU’LL DO

    • Assist in tracking, organizing, and responding to Requests for Quotations (RFQs) and handle proposal-related activities.
    • Manage and maintain organized electronic filing systems for RFQs and contracts.
    • Collaborate with vendors to set up new telephonic accounts for clients.
    • Facilitate onboarding communications for new agencies and keep contact records updated.
    • Work closely with internal teams to gather information for Q&A periods regarding solicitations.
    • Prepare and submit Freedom of Information Law (FOIL) requests for proposals that have been lost.
    • Request rate information from executives or department leaders for proposal submissions.
    • Contribute to the creation and submission of proposals by compiling necessary documentation and formatting content.
    • Maintain contract trackers, internal databases, and reporting spreadsheets.
    • Support various ad hoc projects, including outreach campaigns and internal audits.

    WHAT YOU’LL NEED

    • Experience: 1-3 years in an administrative or support role.
    • Education: A bachelor’s degree is required.
    • Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams).
    • Detail-Oriented: Excellent attention to detail for accurate data entry and formatting.
    • Organizational Skills: Strong time management abilities to prioritize tasks and meet deadlines.
    • Written Communication: Proficient in business writing and effective email communication.
    • Independence & Collaboration: Capability to independently manage tasks while also working cohesively with various departments.

    THE DETAILS

    • Schedule: Monday through Friday, 8:00 AM – 5:00 PM Eastern Time (EST).
    • Compensation: $40,000 – $48,000 annually, based on experience, plus performance-based bonus potential.
    • Location: Fully remote (must be based in the U.S.).
    • Employment Type: Full-time, 40 hours a week.
