As the Associate Director of Systems, you will provide strategic leadership and technical expertise in developing, integrating, and administering systems that drive academic and operational excellence for the Division of Extended Studies. Department Overview:
The Division of Extended Studies is committed to transforming access to higher education through innovative programming that includes online education, community-based initiatives, concurrent enrollment at local high schools, summer sessions, and continuing education offerings. Our collaborative approach enhances student success, reaching individuals across Idaho and beyond.
The Operations team within the Division of Extended Studies consists of three interconnected areas: Systems & Reporting, Scheduling Services, and Customer Services, all essential for delivering high-quality service and operational excellence.
Key Responsibilities:
- Deliver strategic and hands-on leadership for enrollment management systems, acting as the primary contact for complex technical issues, and coordinating with campus partners to ensure service delivery and operational continuity.
- Build and mentor the Systems & Reporting team, overseeing hiring, training, and performance evaluations to cultivate a culture of growth and excellence.
- Manage the design and optimization of business systems to enhance accuracy, efficiency, and scalability while integrating user feedback for continuous improvement.
- Lead strategic initiatives and process improvement projects, employing change management strategies to align team capacities with organizational goals while minimizing risks.
- Serve as the primary facilitator of projects to ensure effective communication among teams and stakeholders, managing timelines and resolving issues collaboratively.
- Establish best practices for data management to ensure accuracy and transparency, utilizing SQL and related tools for data analysis and reporting.
- Develop and maintain strong relationships with stakeholders, monitoring service quality to adapt systems in response to changing program needs.
- Coordinate and deliver systems training for end users to ensure proficient use of technologies.
- Leverage expertise to drive innovation and facilitate scalable, sustainable solutions aligned with organizational objectives.
- Oversee user access and maintain internal controls for information security, ensuring compliance and risk management.
- Create and maintain comprehensive technical documentation to support knowledge sharing and consistency.
Qualifications:
- Strong verbal and written communication skills with a knack for fostering productive relationships across diverse teams.
- Proven leadership experience in managing high-performing teams characterized by accountability and continuous development.
- Demonstrated expertise in project management, process enhancement, and change initiatives that bolster operational efficiency.
- In-depth knowledge of systems analysis and administration, along with hands-on experience in troubleshooting and solution implementation.
- Exceptional critical thinking and problem-solving skills, with the ability to devise innovative, scalable solutions for complex challenges.
- Highly adaptable and resourceful, with excellent time management capabilities and a commitment to exceptional service delivery.
- Proficient in higher education systems and relational databases, including PeopleSoft, Slate, and SQL.
Minimum Qualifications:
- Bachelor’s Degree or equivalent plus 5 years of relevant experience, including 1 year in a managerial role.
Preferred Qualifications:
- Master’s degree in a relevant field.
- Relevant technical certifications (e.g., Slate, PMP, ITIL, SQL).
- Experience with student information systems (SIS) used in higher education settings.
- Proficiency in SQL for data analysis and reporting.
- Experience in higher education, preferably in administrative or extended education roles.
- Proven track record of leading cross-functional technical teams and managing complex projects.
Salary and Benefits:
The annual salary for this role ranges from $80,000 to $91,000, commensurate with experience.
